Position Summary:

Provide administrative support to the store management team and staff. Position requires a high degree of confidentiality, strong organizational skills and ability to multitask. Essential Job Functions:

  • Interview, select, schedule and complete new hire paperwork for newly hired associates
  • Perform daily administrative functions: answer phones, provide information and/or answering requests, maintain office supplies and sort mail.
  • Coordinate routine emails, calendar entries, meetings and various other assignments
  • Maintains business files, makes photocopies, scans documents and send faxes
  • Transcribe and/or compose and send letters, memos and reports
  • Professional contact with store associates and division staff
  • Provide customer service that makes both internal and external customers feel welcome, important and appreciated
  • Input associates into time keeping system, track and report sick days in time keeping system and assist with weekly payroll processing for division office associates
  • Responsible for processing sick/vacation pay for associates
  • Responsible for reconciliation of weekly invoices
  • Ensure retro pay is input and processed in a timely manner for associates
  • Review and prepare departmental invoices to be paid in a timely manner
  • Update and track training completion in ACT
  • Runs reports in ACT for manager to review training complete
  • Possess knowledge of union contracts, as applicable
  • Take initiative on projects and tasks, keeping multiple projects on track
  • Must be able to perform the essential functions of this position with or without reasonable accommodation

  • Proven experience with Microsoft Office Suite with the ability to learn new computer skills

  • Ability to work flexible scheduling including weekends, evenings and holidays

Desired Previous Job Experience

  • 1 year as department head clerk or 2 years equivalent experience
  • Experience in supporting several managers
  • Interviewing and hiring experience
  • 2 years previous bookkeeping experience
  • 2 years payroll experience in a multi-facet payroll system
  • 10 Key by touch
  • Type a minimum of 40 w.p.m.
