Position Summary:

Provide administrative and cost control support to the facility engineering department. Demonstrate the company's core values of respect, honesty, integrity, diversity, inclusion and safety.

Essential Functions:

  • Assist project managers in maintaining status of projects.
  • Approve and watch Epro for expenses that may or may not qualify for capital.
  • Liaison to accounting/controller, expense manager , merchandisers.
  • Capital liaison to technology, maintenance, real estate, and facility engineering departments.
  • Process capital invoices; reconcile to purchase orders.
  • Execute timely payments with detail to discounts and terms.
  • Maintain file new vendor setup.
  • Maintain file on vendor invoice correspondence/discrepancies.
  • Maintain invoice log and tracking.
  • Process facility engineering expense invoices.
  • Research invoices in vendor book.
  • Provice accounting reports and reconciliations.
  • Maintain professional relationship with vendors, contractors, engineers and installers.
  • Create direct orders for journals , local checks, wire transferss; closing responsibilities as needed.
  • Respond to vendor requests.
  • Respond to stores and the accounting department on profit and loss questions each period.
  • Respond to regional cost control on contract payments and service invoices.
  • Conduct division training sessions on Epro.
  • Must be able to perform the essential functions of the position with or without reasonable accommodation.

Minimum Position Qualifications:

  • Excellent phone and communication skills, good typing, and filing skills.
  • Ability to write reports and correspondence.
  • Proficient in Excel, Word, Power Point with the ability to learn new computer skills.
  • Customer service role model.
  • Self motivated, able to organize, prioritize, plan and meet deadlines.
  • Must be professional, dependable, possess positive attitude, good judgment, and be able to gain the support of others to get the job done.

Desired Previous Job Experience:

  • Prior experience in supporting several managers.
